Remote Work Policy for Work Experience Students
1. Purpose
This policy ensures that students completing remote work experience with NovaNet Wireless are kept safe, supported, and engaged. It sets clear expectations around communication, conduct, and safeguarding while promoting professionalism and learning.
2. Communication
All communication between the student and their supervisor must take place via email or through approved professional platforms such as Google Docs or Microsoft Teams. Communication through personal messaging apps or social media platforms, including WhatsApp, Snapchat, or Instagram, is not permitted. Students are expected to respond to messages within a reasonable timeframe and submit work as agreed. Supervisors will be available during scheduled hours to provide support and feedback.
3. Working Environment
Work must be completed in a quiet, safe, and appropriate environment, such as the student's home or another supervised space. Students are expected to focus on tasks during agreed work hours and avoid distractions such as television, video games, or social media. Regular breaks should be taken to support wellbeing, reduce fatigue, and avoid eye strain.
4. Equipment and Access
Students will use their own device—such as a laptop, tablet, or desktop computer—to carry out assigned tasks. Access will be limited to non-sensitive materials, training environments, and approved project work. Students must not download unauthorised software, follow unknown links, or use unapproved third-party tools during their placement.
5. Data Protection and Confidentiality
All materials provided during the placement are intended for educational use only and must be treated confidentially. Students must not share internal documents, discuss company information with others, or post anything related to NovaNet Wireless on social media or public forums. Any access credentials, passwords, or logins must be kept secure and not disclosed to anyone else.
6. Digital Safety Guidelines
NovaNet Wireless takes online safety seriously and expects students to follow basic digital safety principles throughout their placement. Students must never share personal information, including addresses, passwords, or phone numbers, unless approved by a parent or guardian. They must not accept friend requests or personal messages from supervisors or company contacts via social media. All communication must remain on professional platforms. If a student feels uncomfortable or unsure about any communication or task, they are encouraged to speak to a parent, guardian, or supervisor immediately. Students should log out of shared devices when not working, avoid saving passwords in browsers, ensure antivirus software is up to date, and use secure, private Wi-Fi networks whenever possible.
7. Safeguarding
All activities will be overseen by a responsible adult who holds an enhanced DBS certificate. No video or audio calls will be arranged without prior discussion and, where appropriate, parent or guardian consent. NovaNet Wireless is committed to maintaining a safe, respectful, and professional environment for all students during their placement.
8. Conduct and Expectations
Students are expected to complete assigned tasks responsibly and in a timely manner, communicate respectfully and clearly, and uphold the confidentiality and safety standards outlined in this policy. They should feel confident to ask questions, request clarification when needed, and take pride in representing both themselves and NovaNet Wireless during the course of their work experience.
9. Paperwork
Before the placement begins, several documents must be completed and signed to ensure the placement is safe, transparent, and mutually agreed upon. These include the Student Agreement Form, the Parental Consent Form, and this Remote Work Policy & Digital Safety Guidelines, all of which must be read and signed by the student and/ or their parent or guardian. A Risk Assessment will also be conducted prior to the start of the placement to identify and address any potential hazards and safeguarding considerations. These steps are in place to support the wellbeing and success of the student while maintaining the professional integrity of the placement.
